Proposing Seafarers

Recruitment proposals let you offer an application to one or more client pools before a crewlist assignment is created.

Use Recruitment Propose when a seafarer looks suitable for a client pool, but the final crewlist assignment is not created yet. The proposal keeps the application visible to the receiving side and records the decision trail in the application notes.

Where Recruitment Proposals Appear

Recruitment proposals can be opened from more than one place.

  • On the application page, proposed client pools appear in the pools toolbar as read-only proposed pool chips.

  • On the application page, the Recruitment Proposals section lists proposals for the open application. A green new badge means there are new proposals.

  • The Recruitment Proposals page shows proposal rows that are relevant to you. This includes proposals sent to client pools you can work with and proposals that you sent yourself when your permissions allow access.

  • Proposal notes are stored in the normal application notes/memos area and are linked to the proposal.

The application pools dialog does not add or remove proposal links. It changes only manual application-pool links. Proposal links are changed by the recruitment proposal workflow.

Recruitment Propose

You can propose a seafarer from the application page when the application is visible to you and your permissions allow recruitment proposals.

  1. Open the application.

  2. Open Recruitment Proposals.

  3. Click the plus button in the section header.

  4. Select one or more available client pools.

  5. Set the deadline.

  6. Click Save.

The dialog lists client pools where you have proposal permission and where the application does not already have an active proposal. Pools are shown in a tree table, so parent and child client pools stay grouped together and you can understand where the selected pool belongs.

If two target pools have the same short name or key, use the tree branch and hover text to confirm the full client pool path before saving.

After saving, Crewlap creates the recruitment proposal, adds a memo to the application, and refreshes the application page. Proposed pools appear in the application pools toolbar as read-only proposed chips while the proposal is active.

If an older client pool link is still shown as a selected manual link on an application, it can be removed from the application pools dialog. New client pool links are created through recruitment proposal or assignment workflows.

Application Recruitment Proposals Section

The application page has a Recruitment Proposals section directly below Assignments. It shows the current proposals for the open application.

The section opens with the New filter selected. Change the status filter when you need active, accepted, or all proposals. Click the pencil button in a row to open the action dialog for that proposal.

Recruitment Proposals Page

Open Recruitment Proposals from the menu to review proposals in a table. The table shows the application, rank, target pool, sender, created date, deadline, comment, status, and decision information.

Use table filters and sorting to find proposals by status, application, pool, sender, or comment. Click Actions to open the proposal action dialog for one proposal.

The target column uses a compact target label. Hover over the value when you need the full company, vessel group, and vessel path.

Proposal Action Dialog

The same proposal action dialog opens from the Recruitment Proposals page and from the pencil button in the Recruitment Proposals section on the application page.

The dialog starts with a details table so you can understand the proposal even when it was opened from a list:

  • who proposed the application;

  • which application was proposed;

  • which target client pool receives the proposal;

  • the proposal status, created date, deadline, and original note when available.

When the application has several visible proposals, the dialog shows a proposal switcher. Select the proposal you want to review before choosing an action.

Opening a new proposal marks it as read. If you only need to inspect it and keep it unread, select Keep unread after closing before closing the dialog without saving an action.

Available Actions

The available action choices depend on your relationship to the proposal and on your permissions. Choose one option under What do you want to do?, then save the dialog.

  • The receiving side can Accept or Decline when the proposal is addressed to a client pool they can work with.

  • The sending side can Withdraw when they sent the proposal or can work with the office pools that own the application.

  • Just add message adds a proposal-linked note without accepting, declining, or withdrawing the proposal.

  • Change deadline is a separate checkbox with a date field. Use it with Just add message to only update the deadline, or with Accept when the accepted proposal needs a specific deadline.

  • A user can be both the sending side and the receiving side for the same proposal. In that case the dialog can show actions for both roles.

Click Save to apply the selected action, deadline change, and note. Click Cancel to close the dialog without applying changes.

Notes and Memos

Proposal actions can add comments to the original proposal memo.

  • The note field is always visible.

  • Accept allows an optional note when the deadline is not changed.

  • Decline, Withdraw, Just add message, and Change deadline require a note.

  • The saved message appears in the application notes/memos area as a comment under the original proposal memo and is linked to the recruitment proposal.

Use the message to explain the decision, the reason for changing the deadline, or why the proposal was withdrawn. The link to the proposal keeps the memo thread connected to the exact proposal that was changed.

Proposal Pools and Application Pools

Recruitment proposal pool links are read-only on the application page. Use proposal actions to resolve or update them.

Manual application-pool links are office pool links. These links are edited from the application pools dialog.

Assignment-created vessel pool links are also read-only on the application page. They are changed through assignment workflows.
