Assignment Dialog
Assignments connect a seafarer application to a vessel and track the planned and actual assignment dates.
Use the assignment dialog to choose the vessel and position, set planned dates, and work with assignment events.
Creating An Assignment
On an application page, click New assignment to open the assignment dialog. Select the vessel first. Crewlap then loads the positions for that vessel. Select the position and fill the planned embarkation date, planned duration, and planned disembarkation date.
Click Propose to save the planned assignment. After saving, the assignment appears in the application assignments area and in the live crewlist for the assigned vessel. If you select a specific crewlist date before the planned embarkation date, the planned assignment is hidden for that dated view.
Dates And Events
The assignment dialog can track:
Planned and actual assignment dates.
Event tracking: proposed, approved, start traveling, embarked, etc.
Planned dates describe what is expected. Actual events describe what has happened. Keep these separate so the crewlist can show both future planning and real crew movements.
When the assignment reaches a final availability status, Crewlap may need one more business decision. If you choose Available for same client only, enter the Assignment pool deadline in the same dialog. The deadline tells Crewlap how long the application should stay visible in the assigned vessel pool after the assignment has ended. The date must be in the future and cannot be more than three months after the final assignment event date.
Other final statuses do not use an assignment pool deadline. After those statuses are saved, the assignment no longer keeps the application in the vessel pool.
Cancel Other Candidates
When several seafarers are proposed for the same crewlist position slot, opening one proposed assignment can show a Cancel Other section. Use it when you are approving or continuing with one candidate and want to cancel competing proposals for the same slot at the same time.
Select All to cancel every other candidate, or select only the individual candidates that should be cancelled. If no candidate is selected in Cancel Other, Crewlap saves only the assignment you are editing and leaves the other proposals unchanged.
After you select at least one other candidate, Date and Comment become required. The date is the cancellation event date for the selected proposals. The comment explains why those proposals were cancelled and is saved in their assignment history. Fill the comment before saving; Crewlap warns you while it is missing.
The selected cancellations are applied only when you click Save in the assignment dialog. Closing the dialog or clicking Cancel does not cancel the other candidates.
Assignment Pool Link
When an assignment is created for a seafarer, Crewlap automatically links the application to the vessel pool of the assigned vessel. The pool appears in the application pools toolbar when your permissions allow you to see that vessel pool.
This assignment pool link is read-only on the application page. To change it, update or remove the assignment. The application pools dialog edits only manual office-pool links and does not remove assignment-created links.
An active assignment keeps the application in the assigned vessel pool. A finished assignment keeps the application there only when Available for same client only was saved with a future assignment pool deadline. When that deadline passes, the assignment no longer contributes the vessel pool link. The application can still appear in the same pool if another recruitment proposal, active assignment, or older retained client link also links it there.
